In a corporate setting, that phrase should not mean childish language or dumbing the issue down until the real tradeoff disappears.

It should mean:

  • the problem is visible in one pass
  • the audience can picture what is happening
  • the explanation uses concrete cause-and-effect
  • the message matches the listener’s job, incentives, and decision rights

The goal is not simplicity for its own sake.

The goal is shared understanding.

What AI Is Actually Good At Here

Used well, AI is good at four things in business communication:

  • translating abstract language into plain English
  • generating a stronger mental picture, analogy, or storyline
  • reframing the same issue for different stakeholders
  • pressure-testing whether the explanation is too vague, too cute, or missing a key tradeoff

That maps well to current official prompting guidance from OpenAI, Anthropic, and Google: define the task clearly, add context, specify the audience and desired format, use examples when needed, and iterate instead of expecting one perfect prompt.

A Simple Corporate Example

Start with the kind of sentence that often appears in a status deck:

“Fragmented intake and approval workflows are creating downstream execution volatility and reducing throughput across the operating model.”

That is not wrong. It is just hard to picture.

Ask AI to translate it into clearer language:

  • Plain-language version: work is getting stuck between request, review, and approval, so teams wait longer and leaders lose a clear view of what is blocked.
  • Mental picture: the company has too many half-open gates in the same hallway, so work keeps stopping, restarting, and bunching up.
  • Executive implication: delay is not the only issue; the business is also losing predictability.

Now the same problem can be reframed for different audiences:

The most reliable workflow is:

  1. Give AI the exact business problem, not a polished summary.
  2. State the audience, decision context, and what you need them to do next.
  3. Ask for a plain-language version before asking for a polished version.
  4. Ask for one mental picture or analogy, then ask where the analogy breaks.
  5. Ask for audience-specific rewrites for leaders with different priorities.
  6. Ask AI to critique the explanation for vagueness, jargon, missing prerequisites, and misleading simplifications.

This is where the “10-year-old” instinct becomes useful again. The test is not whether the language sounds simple. The test is whether the audience can say:

  • why it matters

How to Build the Right Mental Picture

Good business communication often needs an image in the listener’s head, even when no visual exists on the slide.

AI can help generate that picture, but it works best when you constrain the kind of picture you want:

  • a control tower
  • a queue with missing ownership

The trick is to ask for a metaphor that clarifies the mechanism, not just one that sounds clever.

AI helps most when it is challenged, not trusted blindly.

Common failure modes:

  • creating a memorable analogy that is actually wrong
  • matching the wrong audience and therefore the wrong incentives
  • polishing the sentence without clarifying the mechanism
  • making the communication sound smarter instead of making the problem easier to see

Good guardrails:

  • always give the real source language first
